Creating a PQQ – often at short notice
Typically the bid writing process is not a one step process. Many bids ask you, in the first instance, to complete a PQQ (Pre-Qualification Questionnaire).
The PQQ document is vital to getting to the next stage of the process – the bid itself. The purpose of a PQQ is to allow your potential customer to decide if your company is eligible to be invited to bid for the contract and so it must be totally compliant.
How can you make sure you can complete a PQQ, quickly and clearly, often at short notice?. The answer is to create a ‘toolkit’ of all the information you need to have at your finger tips. Here at Write to Win we specialise in putting together ‘toolkits’ for this purpose and make sure your text and documents are current, well written, free from errors and typos and are ready to use. This means that everyone involved in the bid writing process can access them quickly and easily and have confidence they are correct and up-to-date.
The benefits to you are that you save time and can easily put together a PQQ which gives you a flying start on the bid writing process. You reduce your production cost at this early stage - freeing your time to concentrate on other business activities. This will reduce the effect of bid writing on the other areas of your business.
PQQs often ask for the following information:
- your administrative set-up (eg partnership, sole trader, limited company)
- the history of your organisation
- any prior/current contact with their organisation
- your economic and financial standing
- your track record in providing similar services
- your main business activities split by turnover, client references,
- your technical/delivery capability (i.e. can you do it?),
- capacity (do you have the resources to do it?),
- how you train and look after your staff
- policy documents for Health & Safety, Environment, HR, Equal Opportunities/Diversity and Disability etc.

back to topDeveloping a Bid Library and How to Use it Effectively
Write to Win can further develop your bid writing ‘tookit’ by helping you to create a well-organised library from your standard in-house documents. This is developed from your own material (and where necessary retrieved from inside the heads of your experts!) and will include samples from your most often asked questions, and past bid collateral. Once complete you can use this library to build your bids and as a basis for tweaking and customising each bid document.
Depending on your resources we can either do the whole job for you, or we can project manage the task for you and perhaps provide a proofreading service.
This service will vastly reduce the time (and money) it takes to pull together a bid document, will ensure your writers customise for each potential customer, and slash the number of typos, and grammar and punctuation errors in your text.
Alongside this service we can also create a fully tailored easy to use Word™ template to make sure all your text has the same look and feel. Your bid documents will look smart and attractive and your bid writers will find them easy to construct and prepare.
This library and template will:
- allow you breathing space so you can think about the content of your bid and how best to solve your customers problem
- produce bids from any combination of documents in your library – no more copying and pasting text with different standards and styles
- create a professional look for all your documents that matches your corporate identity – with no effort
- ensure your text is customised for each bid and is benefits driven
- save huge amounts of time when writing bid documents

back to topBid Templates, Editing and Proofreading
No one can properly edit or proofread their own work. One service you need when bid writing is a ‘fresh pair of eyes’. This can be very important for writing bids which are usually produced under great pressure. This can often result in losing sight of the main benefits you are trying to get across, and not spotting typos, grammar and punctuation errors.
We are experts in bid writing and will improve your documents so that your bid truly reflects your expertise, your attention to detail and confirms that you are a quality organisation.
Depending on how much time and budget you have, we can do all the bid writing for you or we can edit your draft, or just provide a proofread to help you perfect the final version. In addition to this we can work with you to create a template to blend your corporate standards and branding into a professional and attractive format that responds to what your customer is looking for.
In reality, bid documents are likely to require variety of editing styles: writing material from scratch, rewriting, editing and proofreading, depending on the quality of the content and the time constraints.
We can help you by:
- creating a stylish bid writing template which contains short cuts to make your bid look professional and attractive
- editing your document to check spelling and grammatical errors, check consistency of terminology, remove ambiguities, and provide useful comments to help you improve text that appears clumsy
- a last minute proofread to remove any typos, layout errors or grammar and punctuation mistakes
We know time can be limited when bid writing, and will work around the clock if required to carry out those last vital checks to ensure your bid document is as good as it can be. This is what you can expect from Write to Win:
- a professional proofreading service – all our writers have extensive industry experience and are chosen for their individual skills
- a fast turnaround – all bid writing deadlines are met
- availability – we have a core bid writing team, and access to other high quality bid writers so that we can provide you with the resources you need
- flexibility – our bid writers available 24/7 with prior arrangement
- reasonable costs – we don’t have large overheads and can work on an hourly or a flat rate basis along with a reasonable premium for weekend work
